Every time you tap your card, weigh a bag of vegetables, or hand over a smartphone to a store associate for a quick payment, you are interacting with a Point of Sale (POS) system. Behind that smooth checkout experience sits a carefully assembled set of hardware components, each doing a specific job. Understanding these physical devices used at the checkout point helps you see how modern retail manages to be fast, accurate, and secure all at once. This guide breaks down the core POS hardware, from the computer and display screens to barcode scanners and mobile POS devices, and explains how each piece fits into the daily running of a store.

The computer: the brain of the POS system

The computer running the POS software is the single most important component of the entire setup. Without it, scanners, printers, and card readers are just disconnected gadgets. This computer processes every transaction, applies taxes and discounts, updates inventory, and stores sales data. It is the engine that ties the rest of the hardware together.

POS computers come in a few different forms depending on the store’s size and needs. A stand-alone desktop works well for a small shop with a single checkout counter. A network terminal connects multiple registers to a central server, which suits supermarkets and large stores where many counters need shared access to the same inventory and pricing data. A touch terminal combines the computer and display into one unit and often includes built-in features like a magnetic stripe reader for cards and even a fingerprint sensor for staff login. These integrated terminals reduce clutter on the counter and make the checkout area easier to manage.

Display screens and the rise of touch

The display screen is how the cashier interacts with the POS software. For most businesses, the touch-screen monitor is the largest hardware component of the POS system, and it is usually one of the more expensive parts too. Touch screens have become the standard because they are simple to operate. A cashier can tap an item, apply a discount, or open a menu without hunting across a keyboard, which speeds up the queue and reduces training time for new staff.

In high-volume environments like grocery stores, you may still find non-touch displays paired with keyboards, simply because they are durable and cost-effective at scale. But the trend is firmly toward touch. Some retailers have pushed the format even further. Barneys New York, for example, equipped its Co-Op department with touch-screen tabletops that let shoppers stream content and browse products, blending the display into the shopping experience itself.

Pole display, keyboard, and cash drawer

A few smaller components handle the details that make a transaction transparent and orderly. They are easy to overlook, but they directly shape how customers and cashiers experience the checkout.

Pole display

The pole display is the customer-facing screen mounted on the POS register. It shows the item being scanned, its price, any discount applied, and product specifications. This small screen plays a big role in building trust. When customers can see each item and price appear as it is scanned, they feel confident that they are being charged correctly. It removes guesswork and reduces disputes at the counter.

Keyboard

The keyboard is used for tasks the touch screen does not handle as quickly, such as entering item codes or quantities. Many POS keyboards are programmable, meaning a single keystroke can trigger a common task like applying a frequent discount or pulling up a department. This kind of shortcut saves seconds on every transaction, and in a busy store those seconds add up.

Cash drawer

The cash drawer holds the cash, secured with a lock and key. Its most useful feature is automation. The drawer is connected to the POS computer and opens automatically when the receipt is printed, signalling to the cashier that the transaction is complete and the drawer is ready for change. A good cash drawer also organises different note and coin denominations neatly, which speeds up giving change and reduces the incidence of errors. Because it opens and closes hundreds of times a day, durability is a key consideration when choosing one.

Electronic weighing scales and EDC terminals

Two specialised devices handle situations where a simple barcode scan is not enough: pricing items by weight, and processing card payments.

Electronic weighing scales

Supermarkets sell a lot of loose goods such as grains, pulses, fruits, and vegetables that do not come in pre-packed, barcoded units. These items are priced by weight, which is where electronic weighing scales come in. Intelligent scales go a step further by transmitting the measured weight directly to the POS terminal. The terminal then calculates the price based on the rate per kilogram, so the cashier does not have to weigh, look up the rate, and key in the total manually. This integration cuts down on errors and keeps the queue moving.

EDC terminals

The Electronic Data Capture (EDC) terminal is the device used to accept credit, debit, and loyalty cards. When a card is swiped, dipped, or tapped, the EDC terminal decodes the information stored on the magnetic stripe or chip and connects to a payment network to authorise the transaction. In practice, that network might be an international one like Mastercard or Visa, or a domestic one like RuPay, which is operated by the National Payments Corporation of India.

RuPay is worth understanding here because it is widely accepted at POS terminals across the country. It is a domestic payment card network launched by NPCI to give Indian banks their own debit, credit, and prepaid card option. When a customer pays with a RuPay card, the EDC terminal routes the transaction through NPCI’s infrastructure rather than a foreign network, which can lower costs for merchants and supports the wider push toward a less-cash economy.

Barcode scanners, price checkers, and mobile POS

Scanning technology is what makes modern checkout fast. Instead of a cashier reading and typing product details, a scanner reads a barcode and feeds the information straight into the POS software within seconds. It is faster and more accurate than manual entry, and it also updates inventory automatically with every sale.

Types of barcode scanners

There are several types of barcode scanners, each suited to a different setting:

  • Handheld scanners: Portable, point-and-shoot devices that a cashier holds and aims at the barcode. They are the most common choice in general retail because operators can move them to the item rather than the other way around.
  • Presentation or tabletop scanners: Fixed-position scanners that sit on the counter. The cashier passes the item in front of them for quick, hands-free scanning.
  • Flat-bed or in-counter scanners: Built into the checkout counter, these are the scanners you see at busy grocery checkouts where items are slid across a glass plate.
  • Laser scanners: These use a laser beam reflected off the barcode to read it. They are fast and accurate for standard printed 1D barcodes and work well over a longer distance, which makes them useful in high-volume environments like retail checkout.
  • Image scanners: These capture a complete picture of the barcode and decode it with software. They read both 1D and 2D codes such as QR codes and Data Matrix codes, and can even read barcodes shown on a phone screen or printed poorly. With the spread of mobile payments and digital coupons, image scanners have become increasingly important.

Price checker kiosks

A price checker kiosk is a self-service unit attached to the POS network, usually mounted on a wall or stand within the store. Customers scan a product themselves, and the screen displays the price along with any current offers. This reduces the number of “how much is this?” questions at the counter, frees up staff, and lets shoppers verify prices before they reach the till.

Mobile POS devices

Perhaps the biggest shift in recent years is the mobile POS (mPOS). These devices pack traditional POS functionality into tablets and smartphones, often paired with a small card reader. Instead of being tied to a fixed counter, a store associate can carry a mobile POS and complete a sale anywhere on the floor.

This mobility changes how stores serve customers. An associate can answer a question, check stock, and ring up the purchase on the spot, without sending the customer to a queue. It also creates natural openings for up-selling and suggestive selling, where the associate recommends a complementary or higher-value product during the conversation. The result is improved productivity and, often, higher sales per customer. The industry trend is clearly moving toward greater mobile compatibility and cloud-based operations, which makes mobile POS a key part of the modern retail toolkit.

POS security methods

A POS system handles cash, card data, and sensitive sales information, so controlling who can access the register is essential. If anyone could open a register or void a sale, the risk of error and fraud would be high. Several methods help control register access and tie every action to a specific person.

Badge and card-based login

One common approach uses barcode scanners on employee badges. Each staff member has a badge with a unique barcode, and scanning it logs them into the register. A related method uses magnetic stripe readers, where login information is encoded onto a card that the employee swipes to gain access. Both methods are quick and remove the need to type passwords repeatedly during a shift.

Fingerprint readers

For a higher level of security, some systems use fingerprint readers. Because a fingerprint cannot be lent, lost, or copied as easily as a badge or card, it adds a level of security that is very difficult to bypass. This ensures that the person logging in is genuinely the staff member assigned to that account.

User accounts and role-based access

Underpinning all of this is password-protected user accounts with role-based access. This means different employees get different levels of permission based on their job. A cashier may only be able to ring up sales at one register, while a supervisor can access management functions like issuing refunds, voiding transactions, or viewing sales reports. Role-based access keeps sensitive functions limited to the right people and creates an audit trail, since every action is linked to a specific login.

How the components work together

Each of these hardware pieces is useful on its own, but the real value comes from how they connect. The computer runs the software and coordinates everything. The scanner feeds in product data, the scale adds weight-based pricing, the EDC terminal handles payment, the pole display keeps the customer informed, the cash drawer manages cash, and security devices control who can do what. A mobile POS can carry many of these functions in a single portable unit. When all of this works smoothly, the customer experiences nothing more than a quick, accurate checkout, which is exactly the point.
