Before any organisation can hire the right person, train them well, or pay them fairly, it must first understand what a job actually involves. This is where job analysis steps in. It is the systematic process of breaking a role down into its tasks, duties, and the skills it demands. But how exactly does an analyst gather all this information? Three classic methods do most of the heavy lifting: observation, interview, and questionnaire. Each one captures a different slice of reality, and knowing when to use which is what separates a vague job description from one that truly reflects the work.

Why the method matters
A job description is only as good as the information behind it. If the data is incomplete or biased, every decision built on top of it, from recruitment to appraisal to wage fixing, inherits that flaw. The three methods discussed here are rarely used in isolation. The limitation here is clear. Recording observations accurately after the fact is harder than noting behaviour as it happens, because memory fades and distorts. The interview method
If observation cannot reach the mind, the interview method is designed to do exactly that. Here the analyst sits down with the employee, their supervisor, and other people connected to the role, asking questions using a standard format so that responses can be compared fairly across people.
The interview’s great advantage is access to the invisible parts of a job. A well-designed job questionnaire does not just ask “what do you do?” It breaks each task down along several dimensions. These ratings are then collected and analysed to build a detailed job profile.
The big draw of the questionnaire is reach. It also produces structured, comparable data that feeds neatly into job profiles, training plans, and staffing decisions.
The cost of comprehensiveness
The trade-off is time and money. Designing a good questionnaire is harder than it looks. Every question must be carefully framed so that different employees interpret it the same way, and constructing the instrument is a detailed, sometimes complicated, process. Distributing it, chasing responses, and then analysing thousands of ratings all add to the bill. So while the questionnaire delivers genuinely comprehensive information, it is often the most time-consuming and costly method to set up well.

The practical answer is to treat them as collaborators rather than rivals. Each method’s strength quietly compensates for another’s blind spot, and the combined picture is far more reliable than any single method on its own.
